The VAT rate is the tax included in the purchase price, not the amount a client is guaranteed to receive. Refund operators and retailers may deduct service or processing fees, and some goods or services may be excluded. Do not quote a fixed refund percentage in a client itinerary.

The advisor-ready tax-free shopping checklist

1. Confirm eligibility before the client shops

Ask the client to check four points:

  • their usual place of residence is outside the EU;
  • the planned purchases are eligible goods for personal use, not commercial resale;
  • the store participates in a tax-free scheme and can issue the required form or electronic document;
  • the goods will leave the EU with the client within the applicable deadline.

A client who is an EU resident, or whose purchases do not meet the export and documentation requirements, may not qualify.

2. Request the tax-free form at the store

At checkout, the client should ask the store whether it offers tax-free shopping before payment is completed. The client should present the required identification, usually a passport, and check that the name, passport details, purchase value and refund operator information are correct.

Keep the original receipts, tax-free forms, invoices and the purchased goods together. The tax-free service may be available only through participating stores, and the centre-level process may differ. Some McArthurGlen centres direct eligible non-EU guests to Guest Services for support; this does not replace the required customs validation when leaving the EU.

3. Validate the export before leaving the EU

The client must validate the forms at the final EU departure point, not simply at the first airport used for an intra-EU connection. Customs may ask to see the passport, receipts, forms and the goods. If the goods are in checked luggage, the client should ask the airline or airport staff how to present them for customs inspection before the bag is sent onward.

Depending on the country and document, validation may use a digital customs kiosk, a customs desk or another official export-validation process. A tax-refund desk or operator cannot replace customs validation.

4. Submit the validated documents and wait for the refund

After customs validation, the client follows the instructions from the retailer or refund operator. The refund may be sent to a card, bank account or another approved method, subject to the operator’s processing times and fees. Keep the stamped or digitally validated record until the refund is completed.
